Privacy Policy — fOffice

This Privacy Policy explains how FRF Tech (“we”, “us”, “our”) collects, uses, and protects your information when you use the fOffice mobile application (the “App”). fOffice is an internal workplace application provided to employees and authorized personnel of FRF Tech for managing profiles, time-off requests, and timesheets.

If you do not agree with this policy, do not use the App.

1. Who this policy applies to

fOffice is an employee-facing internal tool. Access requires an account provisioned by your organization. This policy covers data processed through the App and its backend service.

2. Information we collect

We collect only the information needed to operate the App:

Account & profile data

  • Name, work email address, and credentials used to sign in
  • Profile details associated with your employee record (e.g. department, role, contact info) as held by your organization

Work data you enter or generate

  • Time-off requests and their status
  • Timesheet entries and related work records

Device & technical data

  • A push notification token (issued by the operating system) used to deliver notifications
  • Basic technical data needed for authentication, such as session/access tokens

We do not collect location data, contacts, camera/photo content, or advertising identifiers. The App contains no third-party analytics, advertising, or tracking SDKs.

3. How we use your information

We use your information to:

  • Authenticate you and keep your session secure
  • Display and manage your profile, time-off, and timesheet records
  • Send work-related notifications (e.g. request approvals/updates)
  • Operate, maintain, and improve the App
  • Comply with legal and internal HR/employment obligations

We do not sell your personal data or use it for advertising.

4. How your data is stored and protected

  • On your device: authentication tokens are stored in the device’s secure storage (iOS Keychain / Android Keystore via Expo SecureStore).
  • On our servers: work and profile data is processed and stored on our backend service (hioffice.kyberosc.com) operated by or on behalf of FRF Tech.
  • Data is transmitted over encrypted connections (HTTPS/TLS).
  • Access to backend data is restricted to authorized personnel on a need-to-know basis.

No method of transmission or storage is 100% secure, but we apply reasonable technical and organizational measures to protect your data.

5. Sharing and disclosure

We share personal data only:

  • Within your organization — with authorized HR, management, and IT personnel as required for the App’s purpose.
  • Service providers — infrastructure/hosting providers that process data on our behalf under appropriate confidentiality obligations.
  • Push notification delivery — notification tokens are processed by the platform provider (Apple Push Notification service / Google Firebase Cloud Messaging) and Expo’s push service solely to deliver notifications.
  • Legal requirements — where required by law, regulation, or valid legal process.

We do not share your data with advertisers or sell it to third parties.

6. Data retention

We retain your data for as long as your account is active and as required to fulfill the App’s purpose and meet legal, HR, and record-keeping obligations. When data is no longer needed, it is deleted or anonymized in accordance with our internal retention schedules.

7. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, subject to legal/employment retention requirements
  • Object to or restrict certain processing

Because fOffice is an internal employment tool, some rights may be exercised through your organization’s HR department. To make a request, contact it-support@frftech.com or your HR representative.

8. Children’s privacy

The App is intended for use by employees and authorized adults only. It is not directed at children and we do not knowingly collect data from anyone under 16.

9. Changes to this policy

We may update this policy from time to time. Material changes will be communicated through the App or by your organization. The “Last updated” date at the top reflects the latest revision.
